This explains what RentFlow does with personal information — both for the rental businesses that use it and for their customers.

Who is responsible for what

Each rental business decides what to collect from its own customers and why. They are responsible for their customer records.

RentFlowruns the software those records sit in. We act on each business's instructions and do not use their customers' details for anything of our own.

What is collected

If you hire a vehicle:your name, mobile number, and optionally your email, address, city and driving licence details. A booking request from a business's public page also records the vehicle and dates you asked for and any message you wrote.

If you work for a rental business: your email address and sign-in credentials, held by our authentication provider, plus your role in that business.

There are no advertising trackers, and nothing is sold to anyone.

Why a mobile number

A rental business identifies its customers by the number they ring from. It is used to recognise a returning customer rather than creating a duplicate record, and to reach you about your booking.

When a business sends you a confirmation over WhatsApp or SMS, it does so from its own phone. Your number is not passed to a messaging service by us.

Who can see it

Only the business you hired from. Separation is enforced by the database itself, not merely by the interface: one business cannot read another's records, and neither can the platform operator. Fleet, reservations and customer details are closed to us at the data layer.

The operator can see the businesses themselves — name, plan, billing contact — because that is the service being provided to them.

Where it is kept

Records are held in a managed PostgreSQL database and object storage operated by Supabase. Vehicle photos and video are stored privately and served through links that expire.

How long it is kept

Customer records and reservations are kept for as long as the business keeps its account, because a hire history is what a rental business runs on. A business can delete a customer who has no reservations against them at any time.

When a business's access ends its records are retained but frozen — nothing new can be written. Ask us and we will delete them.

Your rights

You can ask for a copy of what a business holds about you, ask for it to be corrected, or ask for it to be deleted. Ask the business you hired from first — it is their record. If you cannot reach them, contact us and we will pass it on.
