Terms of service
Last updated 9 August 2026
These are the terms on which RentFlow is provided to a rental business.
What the service is
Software for running a vehicle rental business: a fleet record, reservations, a customer book, and a public booking page. We provide the software. You run the business.
Accounts
Accounts are created by us for a named business. You are responsible for who you give sign-in details to and for what they do with them. Tell us straight away if you think an account has been compromised.
Your access period
Each business has an access window. While it is open you can use the platform normally. When it ends you can still read everything you have entered, but you cannot add to it, and your public booking page stops accepting requests.
Nothing is deleted when access ends. Ask us to extend it and your records are there waiting.
Limits
Your plan sets how many vehicles and staff logins you may have and how much photo and video storage you get. Reaching a limit stops you adding more of that thing until the limit is raised. It does not affect anything already entered.
Your data
Your records are yours. They are not sold, mined, or used to train anything. You can ask for an export or a deletion at any time.
Keep your own copy of anything you cannot afford to lose. We take reasonable care, but no service is immune to loss.
Acceptable use
Do not use the platform to store anything unlawful, to send unsolicited messages, or to hold personal information you have no right to hold. Do not attempt to reach another business's records.
Availability
We aim to keep the platform available and will give notice of planned maintenance where we can. We do not promise uninterrupted service, and we are not liable for business losses arising from downtime.
Bookings are between you and your customer
Every reservation, price, deposit and refund is an agreement between the rental business and its customer. We are not a party to it and take no commission on it.
Ending it
You can stop using the platform whenever you like; ask us and we will export your records and close the account. We may end access for non-payment or for a serious breach of these terms, and will tell you why.
